Pro 3.0 Documentation

Install, activate, build, publish and manage your booking forms. Pro 3.0 gives service businesses appointment dates, time slots, team assignment, price estimates and form automation.

Before you begin

What you need

Use a current WordPress website with administrator access. Keep your Pro 3.0 ZIP file and licence key ready.

One website domain licence.
Activate the licence on the website where you will display the forms. An inactive licence prevents forms from being shown.

Pro 3.0 includes

Multi-step forms, conditional logic, appointment dates, available time slots, staff selection, capacity control, price estimates, emails, reCAPTCHA, submissions and CSV export.

Best for: consultations, repairs, cleaning, beauty, training, classes, installations and any service that needs booked time.

Step 1

Install and activate Pro 3.0

  1. Install the ZIP.
    In WordPress, open Plugins, Add New Plugin, Upload Plugin. Choose the Pro 3.0 ZIP, then click Install Now and Activate Plugin.
  2. Open the licence screen.
    Go to PearstecFlow PRO 3.0, then Licence.
  3. Activate your key.
    Paste the licence key supplied with your purchase and complete activation for this website domain.
  4. Confirm the admin menu appears.
    After successful activation, you will see Dashboard, All Forms, Add New Form, Submissions, Appointment Settings and the other Pro settings.
Step 2

Set your appointment availability

Do this before publishing a booking form. Go to PearstecFlow PRO 3.0, Appointment Settings.

Available daysChoose the days customers can book.
First and last appointmentSet your daily booking window, for example 9:00 am to 5:00 pm.
Time-slot intervalSelect 15, 30, 45, 60, 90 or 120-minute intervals.
Bookings per slotSet how many bookings your business can accept at the same time.
Blocked datesAdd unavailable dates in YYYY-MM-DD format, separated by commas.
Staff membersAdd one team member per line. They appear in the Staff field.
Currency symbolChoose the symbol shown beside price estimates.
Step 3

Create your form

Go to All Forms, Add New Form. Give the form a clear name, choose whether it uses tabs and progress percentage, add an admin email, then save it.

Open the form from All Forms to build its tabs, steps and fields.

  • Create a tab.
    Use tabs to separate services, customer types or packages.
  • Add steps.
    Break a longer booking process into simple screens.
  • Add fields.
    Use text, email, phone, choices, address, date and other fields for the information you need.
Step 4

Add booking fields

Booking Date

Add this field to let customers choose only future dates that match your allowed days and blocked-date rules.

Booking Time

Add this field after Booking Date. Customers see only suitable slots. The system removes slots that conflict with an existing booking duration.

Staff

Add this field when customers should select from the staff list created in Appointment Settings.

Price

Add a Price field to display an estimated total. It can calculate from your form choices and quantities.

Booking duration

Set the duration for a booking-time field. Available options include 30, 60, 90, 120, 180, 240, 300 minutes and full day.

Capacity protection

Set your bookings-per-slot limit once in Appointment Settings. Do not set a limit above your actual capacity.

Step 5

Set form rules and design

Conditional logic

Use field logic to show or hide a field based on a customer selection. This keeps the form short and relevant.

Example. Show “Number of rooms” only when the customer selects “Home service”.

Form controls

In the form editor, set the form width, card and text colours, button colours, per-form admin notification email and customer acknowledgement email.

You can also set a payment redirect URL for each package tab. Leave it blank if you want the success message to show after submission.

Step 6

Publish the form on your website

Open the form editor and copy the shortcode shown in the Shortcodes box.

Full form:

Form not found or inactive.

Replace 123 with your form ID. Paste the shortcode into a WordPress Shortcode block, Elementor Shortcode widget or any page builder shortcode area.

Test the form in an incognito browser window. Submit one test booking before sharing the page with customers.

Step 7

Configure emails and spam protection

Email Settings

Go to PearstecFlow PRO 3.0, Email Settings. Set the sender name, sender email, reply-to address, team notification email and customer confirmation message.

Available placeholders include {customer_name}, {customer_email}, {customer_phone}, {form_name} and {submission_details}.

Google reCAPTCHA

Go to Google reCAPTCHA. Enable protection and paste your v2 checkbox site key and secret key. Save, then test the customer-facing form.

Use keys created for the exact domain where the form is published.

Step 8

Manage bookings and export data

View submissions

Go to Submissions to view every form entry.

Update status

Use statuses to organise new, active or closed bookings.

Assign staff

Assign a staff member to a submission when your team manages bookings internally.

Add private notes

Store internal notes against a submission for your team.

Filter records

Use the submission screen to find the entries you need.

Export CSV

Download your submission data as a CSV file for records or reporting.

Troubleshooting

Common questions

The form says the licence is not active.

Open PearstecFlow PRO 3.0, Licence. Check that the key is activated for the same website domain where you are displaying the form.

No time slots are available.

Check Appointment Settings. Confirm the date is an allowed day, it is not blocked, the working-hour window is correct and remaining capacity is available.

The customer did not receive an email.

First submit a test entry. Then confirm customer email is enabled on the form and in Email Settings. Use a properly configured WordPress mail service if your host does not reliably deliver email.

Can I send customers to a payment page?

Yes. In the form editor, add the payment redirect URL for the relevant package tab. After a successful submission, the customer is sent to that URL.

Can I use Pro 3.0 for services other than cleaning?

Yes. Pro 3.0 is a general appointment and service-booking builder. Use it for any business that needs dates, times, staff selection, estimates or structured enquiries.
