Advanced Documentation
Install, activate and configure powerful WordPress forms with flexible fields, conditional logic, email notifications and submission management.
Before you start
FlowBuilder Advanced needs an active PearsFlow licence key for the website where you install it. Keep your key ready before you begin.
Install the plugin
In your WordPress dashboard, go to Plugins → Add New Plugin → Upload Plugin. Choose the PearsFlow FlowBuilder Advanced ZIP file, then click Install Now and Activate Plugin.
Activate your licence
After activation, open Pearstec FlowBuilder Advanced 2.1 → Licence. Enter the licence key supplied with your purchase and click Activate Licence.
The licence is checked against your current website domain. When it is active, the full FlowBuilder menu and frontend forms become available.
Create a new form
Go to Pearstec FlowBuilder Advanced 2.1 → Add New Form. Add the form name, slug and description. Choose Active when the form is ready to receive enquiries.
- Enable Multi Tab Form for grouped sections.
- Enable Progress Percentage for longer forms.
- Set the submit button wording and success message.
- Add an admin notification email for this specific form.
- Enable customer acknowledgement if this form should send a confirmation email.
Click Save Form, then open the Form Builder tab.
Build fields, tabs and conditional logic
Inside the Form Builder tab, add a tab, then add the fields needed for that part of the customer journey. Set each field label, field name, placeholder, required status and validation rule where needed.
| Use this for | Available fields |
|---|---|
| Customer information | Text, email, phone, number, date, time, textarea and address. |
| Customer choices | Dropdown, radio buttons, checkboxes and hidden fields. |
| Form structure | HTML, section and divider. |
| Extra information | File upload and postcode. |
Use conditional logic to show a field only when another field has the selected value. You can also make a field required only when its condition is met.
email, full_name and postcode. This helps FlowBuilder identify customer details for emails and postcode checks.Publish the form on a page
Open All Forms, then edit the form. The Shortcodes box at the top shows the exact shortcode for that form.
Use the full form shortcode:
Form not found or inactive.
Replace 123 with the form ID shown in your dashboard. Paste the shortcode into any WordPress page, post, widget or Elementor Shortcode widget.
For a specific tab only, use the tab shortcode displayed inside that form, for example:
Form not found or inactive.
Configure global form settings
Go to Form Settings to set the default success message and an optional redirect URL after a successful submission.
These settings apply across your FlowBuilder forms. A form can also have its own success message and notification email in its individual Form Settings.
Set up internal and customer emails
Go to Email Settings. First set your From name, From email and Reply-to email. Then configure the internal team notification and customer confirmation email.
Team notification
Choose the address that receives each new enquiry. Add a subject and message template for your team.
Customer confirmation
Enable the confirmation, then write the subject and message your customer should receive after submitting.
Personalise messages
Use the available placeholders to insert customer, form and submission details automatically.
Useful placeholders include {customer_name}, {customer_email}, {form_type}, {submission_date}, {postcode} and {submission_details}.
Protect forms and control service areas
Open Google reCAPTCHA. Enable protection, paste your Google reCAPTCHA v2 checkbox site key and secret key, then save. The checkbox appears on active FlowBuilder forms.
Open Service Areas when you need to allow or block specific Australian postcodes. Add the postcodes and write the message customers should see if their area is unsupported.
Manage submissions and export CSV
Go to Submissions to view enquiries from every form. You can filter them by submission status and date range.
- New
- In Progress
- Contacted
- Completed
- Closed
Open a submission row to update its status and add private admin notes. Click Save to keep your changes. Use Download CSV to export stored submissions.
