PearsFlow FlowBuilder Agency 5.0

Set up a reusable form, booking and payment system for multiple client websites. Agency includes every Premium feature, plus templates, starter packs, white-label settings, client editor access, WordPress Multisite support and a licence for up to 10 client websites.

1. Install and activate

Install Agency on a client website.

Agency is installed as a replacement for the existing Pearstec FlowBuilder plugin. It retains the same internal plugin folder, so WordPress updates the installed builder rather than creating a second copy.

Back up the site first. Test forms, booking flow and payments on a staging website before using live customer data or payment keys.

Upload the ZIP

Go to Plugins, Add New Plugin, Upload Plugin. Select the Agency 5.0 ZIP, then install and activate it.

Activate the licence

Open the Agency licence screen. Paste the Agency key and activate it for the client domain.

Check the site

Open forms, submissions, payment settings and emails. Confirm that the client workflow works correctly before launch.

2. Build once

Create a reusable client workflow.

Use the builder to create a form, service booking, quote request or consultation workflow. Add fields, tabs, steps, conditional rules, emails, schedules, price rules and payment settings as needed.

  • Keep the form structure generic enough to reuse
  • Use clear internal field names for rules and payment settings
  • Test the complete submission and confirmation process

What a template includes

An exported template includes the reusable form structure, builder configuration and payment settings.

It does not include submissions, customer details, payment records, invoices or receipts.

3. Export and import templates

Move a proven form to another client website.

Open the template tools inside FlowBuilder. Export the finished form as a JSON file. On another website with Agency installed, import that JSON file and then edit the form for the new client.

Localise

Update names, emails, services, schedules, prices, Stripe or WooCommerce settings, and brand content for that client.

4. Use starter packs

Start client work with a ready structure.

How to use them

Choose the closest starter pack, enter the client name, then edit the generated form fields, messages, emails and service settings. The starter pack gives you a working base. You control the final workflow.

5. Configure client access

Give clients the tools they need.

Editors can manage

Forms, submissions and templates. This suits clients who need to manage their own day-to-day form work.

Administrators retain

Payment settings, licence activation, white-label settings and other sensitive system controls.

Create the correct WordPress role

Create a WordPress Editor account for the client. Use an Administrator account only for people who should control payments, licences and product branding.

6. White-label the dashboard

Present the system under your agency brand.

Open the Agency white-label settings. Add your agency dashboard name and support email, then choose whether PearsFlow attribution is shown in branded areas.

  • Keep payment and licence controls administrator-only

Important

White-label settings affect the product identity displayed inside WordPress. They do not change the plugin licence or remove the need for valid activation on each website.

7. Payments and bookings

Use the full Premium payment system.

Payment methods

Choose Stripe Checkout, WooCommerce checkout or manual payment tracking per form. Use full payment, a fixed deposit, a percentage deposit or customer choice.

Payment communication

Configure invoice emails, receipt emails and admin payment alerts. Every customer payment receives a secure portal link for its status and balance.

Booking management

Configure appointment dates, time slots, capacity, staff assignment, availability rules, price estimates and conflict control.

Configure each client’s Stripe keys, WooCommerce settings, email sender details, prices and booking rules separately. Never copy live payment credentials from one client website to another.

8. Use on WordPress Multisite

Manage separate client sites in one WordPress network.

Network activate Agency from the WordPress Multisite Network Admin. Each child site keeps its own forms, templates, users, submissions, payment settings and payment records.

Licence activation

Each client site uses a website allocation from your Agency licence. Track activations so the total remains within the 10 client website allowance.

9. Licence and plan

Plan coverage

Agency covers up to 10 client websites under one valid Agency licence allocation.

Agency licence keys use the Agency product type and are managed through the PearsFlow licence system.

Licence manager

The PearsFlow Licence Manager is installed only on the PearsFlow licence-server website. Client websites install FlowBuilder Agency and validate their licence securely. They do not install the Licence Manager.

FAQ

Agency 5.0 support questions

Does Agency include every Premium feature?

Yes. Agency includes the complete Premium booking and payment system, then adds templates, starter packs, white-label settings, editor access controls and multisite support.

Can I move customer submissions with a template?

No. Templates only carry reusable builder and payment configuration. Customer submissions, payment records, invoices and receipts stay on their original website.

Can clients manage forms without seeing payment settings?

Yes. Use a WordPress Editor account for the client. Editors can manage forms, submissions and templates. Administrators retain payment, licence and white-label controls.

Can I use one Agency licence on more than 10 client websites?

No. The Agency plan covers up to 10 client websites. Add another licence allocation before deploying beyond that limit.

Do I install the PearsFlow Licence Manager on every client site?

No. The Licence Manager remains on the PearsFlow licence-server website. Install and activate FlowBuilder Agency only on client websites.
